How it works

From signup to live replies in seven steps.

ReplyMagic isn't a chatbot you wire up. It's a context engine you onboard once. Plan for 10–15 minutes the first time. After that, it runs in the background and you check in once a day.

The setup flow

Seven steps. Each matters.

None of these are filler. Skip the voice samples and the AI sounds generic. Skip the guardrails and edge cases auto-send. Skip the review pass and you trust output you haven't seen. The recipe is in the order.

STEP:01

Connect Instagram

Sign in with Instagram via the official Meta OAuth flow. No password sharing, no scraping, no tokens in spreadsheets. Connection is reversible at any time.

~30 seconds
STEP:02

Scan recent posts

ReplyMagic pulls in your last batch of posts and Reels. Older posts can be backfilled on demand — most accounts start with the most recent 50 and grow from there.

~1 minute
STEP:03

Drop context per post

For each post you want covered, write 1–3 sentences: what's in it, the price, the link, anything you want repeated. ReplyMagic also auto-analyses each Reel and photo to fill the rest.

~3 minutes for 10 posts
STEP:04

Paste voice samples

Drop in 5–10 of your real past replies. The AI learns your tone, emoji habits, sentence length, and signature phrases. The single highest-leverage onboarding step.

~3 minutes
STEP:05

Set guardrails

Pick a persona, choose an industry preset, set hard don'ts (refunds, medical claims, pricing speculation), and mark refer-to-you topics that should always route to you.

~2 minutes
STEP:06

Review the first replies

Run in review-mode to start. Approve or edit each draft. Edits become future voice samples. Most accounts feel confident flipping auto-send on after the first 30–50 approvals.

Ongoing, optional
STEP:07

Go live

Auto-send turns on for the safe categories. The activity log keeps every reply visible. The live feed shows comments arriving in real time. You check in once a day instead of typing 400 replies.

The reply pipeline

What happens when a comment actually arrives.

1. Comment lands. Meta's webhook delivers it to ReplyMagic within a couple of seconds.

2. Spam + policy gates. Bot patterns, duplicate questions, and refer-to-you topics get routed before the AI ever runs.

3. Cache check. If a near-identical question has already been answered, the cached reply is reused (re-personalised to the new commenter).

4. Context stitch. The AI pulls per-post context, the media analysis output, your voice profile, and the commenter's language.

5. Draft. A reply is generated. Confidence is scored.

6. Route. Auto-send if the rules say so. Queue if not. Skip if the confidence is too low or a guardrail fired.

7. Send. Approved replies go through Meta's official send API at human pacing. Logged with full provenance.

Realistic timeline

What the first week looks like.

Day 1
Setup + first replies
Onboarding flow, ~10 posts contextualised, voice samples in. Review-mode on. First drafts queue.
Days 2–4
Tune the voice
Approve, edit, reject. The AI absorbs your edits as new samples. Voice match jumps noticeably by day 3.
Days 5–7
Flip auto-send
Auto-send turns on for safe categories. Edge cases still queue. Coverage rate climbs past 80%.
Week 2+
Background mode
Once-a-day check on the queue. The AI handles the long tail. The four real conversations a week still come to you.
FAQ

Common onboarding questions.

How long does setup actually take? +
Plan for 10–15 minutes for a careful first pass. The connect step is 30 seconds. The longest part is dropping context onto your most recent posts and pasting in voice samples — both genuinely matter, so don't rush. You can always add more context as you go.
Do I need to add context to every post? +
No. AI replies only run on posts you explicitly enable. The 'Auto-enable AI for new posts' automation can flip the switch automatically once the AI has finished analysing the media — most accounts run it on by default after the first week.
What if I want to test without going live? +
Stay in review-mode. Every reply queues for your approval and nothing sends until you approve it. You can sit in review-mode for a day, a week, or forever — whatever your comfort level is.
What gets imported during the post scan? +
Recent posts, their captions, media, and any past comments visible to your account. We don't pull DM history or unrelated account data. Older posts can be loaded later from a 'Load older posts' button on the dashboard.
Can I undo any of this? +
Yes. Disconnect Instagram from your settings at any time and we stop processing immediately. Account deletion wipes context, voice, and reply history. Nothing is locked in.

Ten minutes to set up. A lifetime of saved DMs.
